General meeting

From the notice to the minutes, without chasing anyone.

The annual meeting is where everything gets decided — and, for many syndicates, the most painful moment of the year. Immevia takes care of the logistics from start to finish, so you can focus on the decisions.

Six steps, one thread.

  1. Prepare

Date, place, agenda, attached documents (financial statements, budget, quotes). Immevia gathers what is already in the record: you don’t have to hunt for the documents.

  2. Send the notice

One e-mail per unit, with the agenda, the documents and a direct sign-in link to the portal. You receive a test copy first to check how it looks.

  3. Track attendance

Each co-owner replies in one click from the e-mail: attending, represented, absent. You see who hasn’t replied and remind them with one tap — without retyping a message.

  4. Hold the session

Session mode on a tablet or computer: attendance confirmed, quorum computed from the fractions, each item voted with the required majority displayed. Proxies are recorded.

  5. Produce the minutes

The minutes are generated from what was entered during the session, in the expected format, then sent to the co-owners. They are filed in the record.

  6. Keep decisions alive

An obligation voted (work, special assessment, by-law change) becomes a schedule entry with its date: it doesn’t stay buried in the minutes.

Less friction, more participation.

01

People reply

One click in an e-mail, not a form to print. Replies come in, and you know whom to remind.

02

The session moves

No quorum math by hand, no doubt about the required majority: the screen shows it, you run the meeting.

03

Nothing gets lost

The minutes, attendance, decisions and their deadlines are in the record, available next year to a board that wasn’t there.

Notice periods, majorities and the content of the minutes are those set by your declaration of co-ownership and the Civil Code of Québec; Immevia helps you apply them, but the responsibility for complying with them remains the syndicate’s.
