Getting started
How long does it take to set up a building?
One evening for the basics: the building, its units, its residents (name, e-mail, phone). Documents and history are added over the following weeks — the Living Record is designed to build up gradually, not to be filled in one go.
Do residents have to install anything?
No. They receive an e-mail with a link that signs them in directly, no password. On a phone, the portal can be added to the home screen like an app in two taps. A password remains possible for those who prefer one.
What about co-owners without an e-mail address?
You can enter things on their behalf (meeting attendance, maintenance request, payment by cheque). They appear in the record like everyone else; they simply don’t receive the automatic e-mails.
Can we bring in our Excel history?
Past payments and expenses can be imported from a CSV file (exported from your spreadsheet or your bank statement). Existing documents upload in batches and the recognition suggests where to file them.
Day to day
How do contractors use Immevia?
They don’t create an account. When you assign them a job, they receive a personal link (by e-mail, or by text if you copy it) that opens a page with the request, the photos and the resident’s availability. There they accept, set the visit, submit their quote, “after” photos and invoice. The link stays valid for the duration of the job.
Who sees quotes and invoices?
The syndicate manager or property manager only. Residents see the progress of their request (contractor assigned, visit scheduled, work completed) and the photos, never the amounts.
How do payment reminders work?
Fees are posted every month. Interac e-Transfers received at the syndicate’s e-mail address are recognized and matched automatically; whatever isn’t recognized is presented to you for one-click matching. Late payers get a courteous reminder with a direct sign-in link, at the cadence you choose.
And the general meeting?
Notice with attached documents, one-click attendance replies, reminders to those who haven’t replied, assisted session (attendance, quorum, majorities), minutes generated and sent, decisions added to the schedule. The full flow →
Data and security
Where is our data hosted?
The database and the documents are hosted in Canada (Montréal region). Some processing — the application servers, e-mail delivery, automatic document recognition — takes place in the United States with established providers. The full list is in our privacy policy (in French).
Who has access to what?
Each person sees only what belongs to their role and their building: a resident sees their unit, a board member sees the building, a contractor sees their job. Documents are served through signed, time-limited links, never a public address. Every action is logged.
Can we get our data back if we leave?
Yes. Your documents, monthly reports and minutes are files you can download at any time; your financial data and history are handed over on request in a usable format. The record belongs to the syndicate, not to us.
Does Immevia give legal advice?
No. Immevia is a management tool. The syndicate’s obligations (Civil Code, declaration of co-ownership, Bill 16 and its regulations) remain its own; the platform helps organize them, document them and not miss their deadlines.
